Agri-Sure Dealer Remittance Application Privacy Policy

Agri-Sure, LLC operates the Agri-Sure Dealer Portal, Dealer Remittance Application, Internal Dashboard, and related services that may connect with QuickBooks Online and other Agri-Sure business systems.

This Privacy Policy explains how information may be collected, used, stored, shared, and protected when these services are used.

1. Information We Process

The application may process information provided by customers, dealers, dealer employees, Agri-Sure personnel, and connected business systems.

Information may include:

Names
Email addresses
Telephone numbers
Mailing addresses
Dealership information
Dealer employee information
Policy information
Coverage information
Equipment information
Make, model, serial number, and purchase information
Salesperson information
Invoices
Remittances
Payment status
Payment dates
Transaction identifiers
Credit information associated with transactions
Refund information
Dealer billing information
Uploaded documents
Internal transaction notes
Related business records

The application may also process technical information including login activity, timestamps, application events, error logs, browser information, and security-related events.

2. QuickBooks Online Information

When Agri-Sure connects the application to QuickBooks Online, the application may access information necessary to perform authorized accounting and remittance functions.

This may include:

QuickBooks customers
Invoices
Payments
Credit memos
Refund records
Products and services
Transaction identifiers
Transaction status
Company information
Payment information associated with Agri-Sure transactions

QuickBooks Online access is performed through authentication methods provided by Intuit.

Agri-Sure does not require users to provide their QuickBooks Online password directly to the Agri-Sure application.

3. How Information Is Used

Agri-Sure may use information processed through the application to:

Operate the Dealer Portal
Operate the Internal Dashboard
Create and manage policies
Generate policy documents
Associate customers with policies
Associate customers with dealers
Create and manage dealer remittances
Create QuickBooks invoices
Confirm payment activity
Reconcile QuickBooks transactions
Process approved credits or refunds
Manage dealer accounts
Manage authorized dealer products
Maintain dealer employee records
Prevent or identify duplicate customer records
Investigate transaction discrepancies
Provide dealer and customer support
Maintain business and accounting records
Protect application security
Diagnose technical problems
Comply with legal, contractual, tax, accounting, and audit requirements

QuickBooks information is used for Agri-Sure business operations connected to the services described in this Privacy Policy.

4. HubSpot and Business Records

Agri-Sure uses HubSpot as part of its customer, dealer, policy, transaction, and business record management processes.

Information entered through the application may be stored in or associated with HubSpot records, including:

Contacts
Companies
Deals
Custom objects
Associations between records
Policy records
Dealer records
Remittance records
Administrative records

This allows Agri-Sure to maintain policy history, customer relationships, dealer relationships, billing records, remittance history, and administrative information.

5. Customer and Dealer Associations

Customer records may be associated with the dealership that sold or administered an Agri-Sure policy.

Agri-Sure uses internal controls intended to limit dealer access to information associated with dealerships for which the dealer user is authorized.

Information belonging to an unrelated dealership is not intentionally displayed to another dealer solely because a possible duplicate customer record exists.

Potential duplicate records may be reviewed internally by authorized Agri-Sure personnel.

6. Service Providers

Agri-Sure uses service providers to operate and support the application.

These providers may include:

Intuit, for QuickBooks Online accounting services.

HubSpot, for customer relationship management, dealer records, policy records, and application hosting functions.

Cloudflare, for secure processing and forwarding of certain QuickBooks event notifications.

Other technology providers may be used when necessary to operate, secure, maintain, or support Agri-Sure systems.

Service providers may process information only as necessary to provide the applicable service or support authorized Agri-Sure business operations.

7. QuickBooks Webhook Processing

QuickBooks Online may send automated notifications when certain accounting records change.

Agri-Sure may use a secure relay service to verify that these notifications were sent by Intuit before forwarding authenticated event information to Agri-Sure systems.

These notifications may relate to records such as:

Invoices
Payments
Credit memos
Refund receipts

Credentials used to authenticate these communications are protected separately from ordinary user-facing application information.

8. Information Sharing

Agri-Sure does not sell personal information to advertisers.

Information may be shared with:

Authorized Agri-Sure personnel
The dealer responsible for an applicable transaction when appropriate
Service providers used to operate the application
Accounting and professional service providers when necessary
Government authorities or other parties when disclosure is required by law
Parties involved in protecting Agri-Sure's legal rights, security, customers, or systems

Agri-Sure does not intentionally provide one dealer with customer information belonging solely to an unrelated dealer.

9. Data Security

Agri-Sure uses administrative, technical, and organizational safeguards intended to protect information from unauthorized access, disclosure, alteration, loss, or destruction.

These safeguards may include:

Authenticated access
Role-based permissions
Secure HTTPS connections
Protected application credentials
Encrypted secrets
Webhook authentication
Access restrictions
Activity logging
Transaction review controls
Application-level validation

No internet-connected system can guarantee absolute security.

10. Data Retention

Agri-Sure retains information for as long as reasonably necessary to:

Operate the services
Maintain policy records
Maintain accounting records
Maintain dealer records
Resolve disputes
Support customers and dealers
Meet contractual obligations
Meet tax and accounting requirements
Meet audit requirements
Comply with applicable law

Some accounting, policy, dealer, or transaction records may be retained after a user account or QuickBooks connection is disconnected when Agri-Sure has a legitimate business, legal, contractual, tax, audit, or recordkeeping reason to retain the information.

11. Disconnecting QuickBooks Online

If the QuickBooks Online connection is disconnected, the application will stop using that connection to retrieve new QuickBooks information unless the connection is later restored.

Disconnecting QuickBooks Online does not automatically delete information already maintained by Agri-Sure when that information must be retained for accounting, policy, audit, contractual, legal, or business recordkeeping purposes.

12. Correction and Deletion Requests

Individuals may contact Agri-Sure to request correction of inaccurate personal information or to ask whether eligible personal information can be deleted.

Agri-Sure will evaluate requests according to applicable legal, accounting, contractual, policy, tax, audit, and recordkeeping requirements.

Some records may not be eligible for deletion when Agri-Sure is required or permitted to retain them.

Agri-Sure may need to verify the identity of the person making a request before making changes to a record.

13. Access Controls

Dealer users are permitted to access information associated with dealerships and functions for which they have authorization.

Dealer Group Managers may receive access to information associated with authorized dealer locations within their dealer group.

Agri-Sure administrative users may access information necessary to manage:

Policies
Customers
Dealers
Accounting activity
Remittances
Application configuration
System administration
Customer support
Dealer support

Access permissions may change when a user's position, dealership relationship, authorization, or responsibilities change.

14. Cookies and Technical Information

The application and its supporting services may use cookies, browser storage, session information, or similar technologies necessary for authentication, application operation, security, preferences, and session management.

Technical information may also be used to diagnose errors, prevent unauthorized access, and maintain application reliability.

15. Children's Information

The application is intended for business use and is not directed to children.

Agri-Sure does not knowingly operate the application for the purpose of collecting personal information from children.

16. Third-Party Services

QuickBooks Online, HubSpot, and other connected services may maintain their own privacy policies and terms.

Information processed directly by those providers may also be subject to their respective policies.

Agri-Sure's Privacy Policy applies to Agri-Sure's handling of information through the application.

17. Changes to This Privacy Policy

Agri-Sure may update this Privacy Policy when application functionality, connected services, business practices, or legal requirements change.

The current version will be posted on the Agri-Sure website with its effective date.
